New Information for Employees


In an effort to provide clear and concise communication, the Office of Human Resources has put together a timeline of important information that all employees should be aware of. This timeline will be updated as announcements arise. Should you have any questions please reach out to your HR Partner.

April 21, 2020

Hiring Freeze

Adelphi has implemented a University-wide hiring freeze of all positions (faculty and non-faculty) for the next six months. The executive vice president of finance and administration (EVPFA), Jim Perrino, must approve any requests for critical or essential personnel. Units are being requested to reallocate work to existing staff or request assistance from other units that may have underutilized staff. We will reassess the duration of the freeze beyond the six months as we gain more information about our expected enrollment for the upcoming academic year.

Fiscal Year 2019-2020 Salary Freeze

Unless required by a collective bargaining agreement, there will be no increases to existing salaries through bonuses, promotions, acting rates, changes to time status or additional pay for the remainder of the fiscal year 2019–2020 without the approval of the EVPFA and the chief human resources officer. Any salary change requests already in process will be reevaluated.

Voluntary Salary Reductions

In response to the financial stress the pandemic has placed on the University, the University officers (the President, Provost and Executive Vice President; and EVPFA) will be reducing their salaries for the next six months. In addition, several executive leaders have also committed to voluntary reductions. The savings generated by these reductions will be used in this fiscal year to reduce the negative financial impact of the crisis. If you too wish to participate in this voluntary effort, please contact the Office of Human Resources at humanres@adelphi.edu to process any adjustment you wish to make. Your decision to participate in a voluntary salary reduction will be kept strictly confidential. Any salary reduction must be documented in writing and signed by each employee choosing to reduce their salary. New York state forms LS 54 (for hourly employees) and LS 59 (for exempt salaried employees) will be used for this purpose. Such reductions on your part are strictly voluntary and will have no bearing on your future employment status.

Hourly Employees

Effective May 1, the employment of hourly employees will be significantly reduced. Hourly employees to be separated from employment have been notified of the University’s decision.

Student Employees

Adelphi understands that many of our student employees rely on steady hours and income to support their educational experience. To help mitigate the impact of COVID-19 on student employee needs, the University has taken the following steps:

  • Federal Work Study (FWS) Students received one lump-sum payment on April 17, 2020, in the amount of their FWS balance, which closed out the students’ Work Study award for the 2019–2020 academic year. The lump-sum payment did not apply to students who already earned their maximum FWS awards for this academic year, nor to those who were not completing an FWS obligation prior to the COVID-19 crisis.
  • Non-Federal Work Study Student Workers received a lump-sum stipend of $450 on April 17, 2020. In addition to this stipend, any student who can continue to work remotely may still do so for hourly pay with the approval of their manager.
  • Graduate Assistants may continue to work remotely with the approval of their manager. All graduate assistants will continue to receive any outstanding payments as appropriate.

Human Resources Forms Now Available Online

HR has placed the Employee Payroll Transactions Form (PTF), the Student PTF, and the Overtime Sheet as writeable documents on our web site at hr.adelphi.edu/payroll/. Please complete any of these forms as necessary and forward them to the Office of Human Resources email address along with any necessary approvals. HR will process the forms and advise on the progress.

Additionally, we have placed the bi-weekly and monthly attendance sheets as writeable documents on the same page. In an effort to prevent a huge backlog of data entry when we all return to campus, it will be appreciated if staff could download, enter their time into the fillable form, and forward to their supervisor. The supervisor should then forward it to the Human Resources email address indicating their approval.

On-Campus Presence

You may not come to campus for any reason or for any amount of time—even if you are designated as “essential personnel”—if any of the following conditions exist:

  • You do not feel well; you have a fever, shortness of breath, cough, body aches, an inability to smell or other potential signs of COVID-19.
  • In the last 14 days, you have tested positive for COVID-19 or are awaiting COVID-19 test results.
  • In the last 14 days, a person with whom you live in the same residence has tested positive for COVID-19, is awaiting COVID-19 test results or has COVID-19 symptoms such as fever, cough, shortness of breath, body aches, an inability to smell or other potential signs of the virus.

Failure to follow these directives will result in immediate disciplinary action, up to and including termination of employment.

Redeployment of Employees

Deans, Directors and Managers – if you are having trouble identifying work-at-home activities for some of your staff, please reach out to Cindy. Human Resources is committed to redeploying the efforts of employees whose work cannot be done from home into other areas where additional help is needed. There is plenty of work to go around and it benefits everyone when we allocate our resources efficiently and effectively.
